The announcement text: Job Title: Receptionist Salary: £16,000-18,000 Based: EC1 Purpose of Job: To provide an efficient and welcoming reception for both telephone and personal callers. Principal Duties Receive incoming telephone calls and deal with quickly and courteously, ensuring messages are directed to voice mail or communicated by phone as appropriate. Receive visitors courteously and ensure that they sign in to visitors’ book. Ensure that reception is staffed at all times, that the area is tidy and welcoming and that deliveries are received and distributed promptly. Book meeting rooms, as requested, and clearly establish catering and equipment requirements. Responsibility for all incoming and outgoing post in line with Management System procedures and current office requirements. Responsibility for the franking of post and the re-crediting and maintenance of the franking machine and appropriate stationery. Ensure all Post Office price leaflets etc. are up to date. Obtain up to date information on all Post Office services and prices and order appropriate stationery. Liaise with appropriate Post Office personnel to ensure efficient deliveries and collections and resolve problems which occur. Log in and arrange distribution of all incoming faxes as soon as they are received according to Management System procedures. Maintain accounts with appropriate international and local courier companies, log bookings, check invoices and order stationery, as necessary. Ensure an adequate supply of up to date PRP brochures are on display and order more, as appropriate. Ensure all staff enter their daily movements into the appropriate book at reception. Notify Personnel Department of staff absences fortnightly. Liaise with external printing companies for efficient collections and delivery and process invoices when received. Log all bookings for display bins and alert the Office Services Assistant when they are required or are returned. Organise the clearing of the conference room after meetings. EXPERIENCE *QUALIFICATIONS *PERSONAL ATTRIBUTES Previous experience in a dedicated receptionist*telephonist role in a similar size company. A multitasker with the ability to stay calm under pressure. Able to demonstrate initiative – a problem solver. A warm, welcoming personality. Well organised and methodical Smart (formal not necessary) appearance Educated to at least good grade GCSE standard
